Workspaces

Group people and projects under one workspace, give each member a role, and let membership carry project access without a per-project invite.

A workspace holds a team and the projects that team works on. It is the right tool when the same group of people should reach every project you make, instead of being invited to each project one at a time.

Getting there

Nothing in the app sidebar or the settings rail links to workspaces yet. Open /workspaces directly in the browser.

Loading that page creates your personal workspace if you do not have one. It is named after the part of your email before the @, so ada@studio.com gets ada Workspace, and any project you already own that is not in a workspace is moved into it. You always hold the owner role there.

Roles

Every member has one of five roles.

RoleWhat they can do
OwnerEverything an admin can do. Cannot be changed or removed. One per workspace.
AdminInvite members, change roles, remove members, edit editorial playbooks and brand vocabulary, edit projects.
EditorEdit projects and compositions, comment, edit brand vocabulary.
CommenterComment on compositions. Cannot edit.
ViewerRead only. Cannot edit and cannot comment.

Owner is fixed

You cannot invite someone as owner, promote a member to owner, or change or remove the current owner. Those requests are rejected.

Create a workspace and invite people

Type a name in the New workspace field and press the plus button. You become its owner.

Pick the workspace in the left list. Its members load in the Members card.

In Invite collaborator, enter an email address, choose Admin, Editor, Commenter, or Viewer, and press Send invite. You see Invitation sent. when it lands.

Only the owner and admins can invite, change a role, or remove a member. Everyone else gets a "Workspace access denied" style refusal.

An invitation expires 7 days after it is created. Klipeo does not email workspace invitations. Open Workspaces while signed in with the invited email to see pending invites and press Accept, or call POST /api/workspaces/invitations/{id} from an integration. The signed-in account's email must match the invited address exactly. An expired, already used, or mismatched invitation returns "Invitation is invalid or expired."

To change someone's role, use the role select next to their name in Members. The owner shows a fixed Owner badge instead of a select.

Membership is project access

This is the part that surprises people. If a project belongs to a workspace, every member of that workspace can open it. There is no project invite and no acceptance step. Their workspace role becomes their access on that project: an admin or editor can edit, a commenter can comment, a viewer can only look.

Collaboration is a paid feature

Members other than the workspace owner only get in while the workspace owner's plan is active. The check runs on every request, so an expired plan closes the project to the rest of the team straight away. The owner keeps their own projects.

The active workspace

Klipeo remembers one active workspace in a klipeo_workspace cookie. It is set by POST /api/workspaces/active with a workspace you are a member of, and it lasts a year.

While it is set, a project you create, including one started from the home composer, is filed under that workspace. That is what puts a new project in front of the whole team rather than only you.

Workspace-scoped settings

Selecting a workspace reveals three more buttons under the list.

Connect GitHub App

Install the Klipeo GitHub App for this workspace. It returns to /workspaces with the result in the URL.

Editorial playbooks

Run policy and preflight checklists for the workspace. Only the owner and admins can edit them.

Brand vocabulary

Terms Klipeo should spell your way. The owner, admins, and editors can edit them.

Every member can read playbooks and brand vocabulary. The response tells the page whether your role may edit, so members without the right role see the lists without the controls.
